The Academic Program Coordinators will rely on the Administrative Associate to help them run evening and weekend classes, organize community-building and educational events, and support the growth of their students. Supporting a good and growth-oriented community through establishing and maintaining reliable connections with students, professors, cross-functional team members, and internal/external suppliers are among the many responsibilities of this position.
Qualifications:
- Manages and keeps an eye on the many administrative initiatives. Carries out additional tasks in accordance with requirements or instructions.
- coordinating the logistics of the group’s potential new hires’ interviews.
- Assist with the day-to-day operations of the Group Manager, task leaders, and group researchers.
- Responsible for assisting the Program Coordinator with the planning and execution of remote class weekends and events, including but not limited to liaising closely and communicating frequently with faculty, staff, caterers, custodial staff, hotels, travel providers, guest speakers, and more.
- Everything from scheduling and logistics to visitors and suppliers, mail and mailboxes to records and training to publications to floor plans and the flow of information.
- Provide advice and recommendations on organizational-specific administrative practices as well as serve as a reference for personnel regarding institutional processes, procedures, and requirements.
- Managers of large groups can use the monthly expense reports for various projects that are available for download.
- Collects, summaries, and does analysis on the data. Plans and produces a variety of reports, both simple and complicated.
- coordinates travel and creates, processes, and retains documents for all trip.
- Coordination of course materials and branded merchandise purchase and distribution
Skills:
- Proven skill in working under pressure and meeting tight deadlines while maintaining focus in a fast-paced office setting with frequent interruptions and shifting priorities.
- Excellent computer abilities, including but not limited to mastery of Microsoft Office programs (Outlook, Word, Excel, and PowerPoint), Preview, and Acrobat.
- Excellent computer skills on Mac and/or PC platforms, including but not limited to proficiency with Microsoft Office components (Outlook, Word, Excel, and PowerPoint), and Preview/Acrobat.
- Capacity for rapid acquisition of new information and the ability to operate unfamiliar business software with complex user interfaces
- extremely skilled with using Microsoft Excel and Microsoft Office
